Job Overview:

The Maintenance Parts Clerk is responsible for managing the inventory, procurement, and distribution of parts, supplies and documentation for the maintenance department. This role ensures that necessary parts and materials are available when needed to support maintenance operations, prevent downtime, and maintain equipment efficiency.

Key Responsibilities:

  1. Maintain organization and accurate inventory of maintenance parts, tools, and supplies.
  2. Receive, inspect, and properly store incoming parts and materials.
  3. Track and issue parts to maintenance personnel as needed.
  4. Monitor stock levels and reorder supplies to prevent shortages.
  5. Work with vendors to source and purchase parts at the best value.
  6. Analysis of Material Master Data Tracking System’s Min/Max ratios, align with line consumption and lead time for associated projects and PMs.
  7. Kitting parts for upcoming PMs and projects
  8. Maintain records of orders, invoices, and purchase history in CMMS.
  9. Assist in organizing and labeling parts storage areas for easy access.
  10. Coordinate with the maintenance team to anticipate upcoming needs.
  11. Perform cycle counts and conduct regular inventory audits.
  12. Follow company safety procedures and maintain a clean, organized workspace.
  13. Responsible for following all Food Safety policies, procedures and regulatory criterion including the current SQF code, Good Manufacturing Practices, and the Food Safety Modernization Act (FSMA) and associated Preventive Controls.

Required Skills & Qualifications:

  • High school diploma or GED required; additional technical or inventory management training is a plus.
  • Proficiency in Microsoft Office (Excel, Word, Outlook) for data entry, reporting, and communication.
  • Experience with ERP and CMMS systems for inventory management.
  • Strong organizational and data entry skills with attention to detail.
  • Basic mechanical knowledge of maintenance parts and equipment.
  • Ability to analyze inventory data and make purchasing recommendations.
  • Strong problem-solving skills and ability to work independently.
  • Effective communication and teamwork skills.
  • Ability to lift and move heavy parts or materials as required. Must be physically able to perform the duties of the job including lifting up to 50 lbs 

Other Duties and Responsibilities:

  • May be required to work overtime, evenings, or weekends to complete work. 
  • May be required to work flexible shifts, including on-call.
  • Other duties and tasks as assigned.
